About this policy

The Fit and Trim Bahamas program ("the Program," "we," "our," or "us") is a clinical study sponsored by _____________ ("Sponsor"), a medical device company based in the United States. The Program is conducted in The Bahamas in collaboration with our local clinical research partner.

This Privacy Policy explains how we collect, use, and protect personal information you provide through our website at fitandtrimbahamas.com. By using this website or submitting an application, you agree to the practices described below.

The information we collect

When you submit an application, we collect:

  • Identification and contact information: Name, email address, phone number, and preferred contact method.
  • Demographic information: Date of birth and country of residence.
  • General health information for eligibility screening: Height, weight, prior weight-loss treatment categories, prior bariatric surgery history, and pregnancy status.
  • General medical disclosure: Whether you have any current medical conditions our clinical team should be aware of (without specific diagnoses).

We deliberately collect only the minimum information needed to determine your potential eligibility for an in-person screening visit. Detailed medical history, medication review, and clinical assessment occur during the in-person visit and are governed by separate clinical protocols.

We also automatically collect limited technical information, such as your IP address, browser type, and pages visited, for website security and basic analytics purposes.

How we use your information

We use the information you provide solely to:

  • Determine your potential eligibility for the Fit and Trim study
  • Contact you about your application and schedule a screening visit if you are a candidate
  • Maintain records as required by clinical research regulations
  • Comply with applicable laws and regulatory requirements

We will not use your information for marketing, advertising, or any commercial purpose unrelated to the study.

Who has access to your information

Access to your personal information is strictly limited to:

  • The clinical team of our local research partner in The Bahamas, who reviews applications and conducts screening
  • Authorized personnel of the Sponsor (Anaxiom Inc.) who oversee the study
  • Regulatory authorities, including the U.S. Food and Drug Administration (FDA), the Bahamian Ministry of Health, and any reviewing Institutional Review Board or Ethics Committee, when required by law or regulation
  • Authorized service providers (such as our website hosting provider) who maintain the technical infrastructure and are bound by confidentiality obligations

We do not sell, rent, or share your personal information with third parties for any other purpose.

How we protect your information

We take the security of your personal information seriously. Our safeguards include:

  • Encryption of data in transit using HTTPS/TLS
  • Secure hosting infrastructure with industry-standard physical and network security
  • Encrypted storage of application data at rest
  • Strict access controls limiting who can view applications
  • Two-factor authentication required for all administrative access
  • Regular security updates to all platform software

While we work to protect your information, no system is completely secure. If you have concerns about the security of your information, please contact us before submitting an application.

Cross-border data transfer

Because the Program involves a U.S.-based Sponsor, your information may be transferred to and stored on servers located in the United States. By submitting an application, you consent to this cross-border transfer. We apply protections to your information consistent with both Bahamian and U.S. data protection standards regardless of where it is stored.

How long we keep your information

We retain your information for the following periods:

  • Applications from individuals who do not qualify or are not enrolled: Up to 12 months after submission, then deleted unless you have separately consented to retention for future studies.
  • Applications from enrolled study participants: Retained for the duration of the study and for the period required by clinical research regulations (typically a minimum of 15 years), in accordance with FDA, ICH-GCP, and Bahamian regulatory requirements.

Your rights under Bahamian law

Under the Data Protection (Privacy of Personal Information) Act, 2003 of The Bahamas, you have the following rights regarding your personal information:

  • Right of access: You may request a copy of the personal information we hold about you.
  • Right to correction: You may request that we correct inaccurate information.
  • Right to deletion: You may request that we delete your information, subject to legal and regulatory retention requirements.
  • Right to withdraw consent: You may withdraw your consent to our use of your information at any time, subject to applicable regulatory obligations.

To exercise any of these rights, please contact us using the information at the end of this policy.

Children's privacy

The Fit and Trim Program is intended exclusively for adults. We do not knowingly collect information from individuals under the age of 18. If you believe we have collected information from a minor, please contact us immediately so we can delete it.

Cookies and analytics

This website uses cookies for basic functionality and analytics. We do not use advertising cookies or share cookie data with third-party advertisers. You can disable cookies in your browser settings, though some site features may not function properly as a result.

We may update this Privacy Policy from time to time. The "Last updated" date at the top of the policy reflects the most recent revision. We encourage you to review this policy periodically.
